Last updated: September 5, 2026 · Record.so is in beta.

1. What we collect

  • Account data: name, email, password (stored as a salted hash), and, if you sign in with Google, your Google account id and profile picture.
  • Your recordings: the video files, posters, titles, descriptions, comments and reactions you create.
  • Operational data: IP addresses in server logs and rate-limit counters, and error reports if our error tracking is enabled. Each recording also stores which client uploaded it (web, desktop app or extension, including that install's random identifier) and the IP address it was created and uploaded from. We keep this so we can respond to abuse reports and lawful requests from authorities; it is never public and never shown to other users.
  • Viewer analytics: when you watch someone's recording, we record anonymous watch data for its owner: which parts were watched, view counts, a country code, and clicks on the owner's links and overlays. If the owner asks for your email through an in-video form and you enter it, that email is linked to the random identifier your browser uses for watching (or to your account if you are signed in) and becomes a contact of THAT owner: their viewer lists show you by that email and their later forms stop asking. Other owners never receive it. Their forms may prefill it on your screen for convenience, but nothing reaches them unless you submit there too. Watching while signed in shows your account name and email to the owner of the recording you watch. Clearing your browser data replaces the identifier and breaks the link; you can also just not enter an email (skippable forms have a Skip button).
  • App install data: when you use the desktop app or the browser extension, it reports on start: a random identifier it generates for itself, the app version, the platform family (macOS / Windows / Chrome), and, only if you are signed in, which account. That identifier belongs to the installed copy, not to you or your device: we derive no hardware or browser fingerprint, and clearing the app's data (or removing the extension) replaces it. We use it to count installs and active copies, nothing else. The web app doesn't send launch pings; it only attaches the same kind of random identifier to recordings you upload (above).

We don't run ad trackers and we don't sell data. Preferences (theme, recorder settings) live in your browser's local storage.

2. Where it lives

Video files and posters are stored on Cloudflare R2; account and metadata live in our MongoDB database. Media is served through short-lived signed URLs, private, workspace-only and password-protected recordings are not publicly reachable.

3. Third parties we use

  • Cloudflare R2: video storage and delivery.
  • Google Identity Services: only if you choose "Sign in with Google".
  • Resend: transactional email (verification, password reset, invites, comment notifications).
  • Sentry: error reports (technical context, no recording content), when enabled.

4. Retention and deletion

Temporary recordings have an expiring share link (24 hours anonymous, 7 days for members); once it expires, the recording is inaccessible to anyone but its owner. Deleting a recording removes the video file, poster and the recording's comments and reactions. Deleting your account from Settings removes your account, every recording you own (including files), your solo workspaces, memberships and comments, immediately and irreversibly. App install records outlive that deletion as anonymous counters: the account link is dropped with the account, leaving only the random install identifier, version and platform.

5. Who can see your recordings

You control access per recording: public link, workspace-only, or private, plus an optional password. Share cards and embeds are only generated for public, non-password-protected recordings.

6. Email

We send transactional email only: verification, password resets, workspace invites and comment notifications. Comment notifications can be turned off in Settings. No marketing email.

7. Your rights

You can access and edit your data in the app, export recordings (Download), and erase everything by deleting your account. For anything else, email us.

8. Changes

Material changes to this policy will be announced on the site.
